Vendor On-site Information - Items DUE by July 1



We look forward to hosting you at the Dane County Fair, July 17-20, 2025. Information for 2025 is posted below for your planning purposes. We'll also send emails periodically to remind you of important details and upcoming deadlines. 2025 Information & Forms


JULY 1 - DUE TO FAIR OFFICE

  • ALL VENDORS:
    • Wisconsin Temporary Event Operator and Seller Form - if you did not include your number on your space application, complete the first section of the form and return to the Fair Office. The Wisconsin Department of Revenue website details sales tax and permit requirements. ALL vendors need to complete this form and either provide their WI seller permit number or note their exemption code that they are a Display or Non-profit booth.
    • Extra Gate Admission Tickets Order Form - 2 season tickets (8 day tickets) are included with per each 10x10 or 10' frontage booth space. Please submit form with check payment if you need additional tickets by July 1. Tickets can also be purchased on-site on Tuesday & Wednesday ONLY during Fair week.
    • Friends of the Fair Sponsorship Options
    • Certificate of Insurance - A certificate of liability insurance needs to be on-file. Proof of $1M liability insurance coverage, in effect and maintained for the duration of the Fair, is required. Please have your policy holder mail or email a certificate with Dane County Fair listed as an additional insured and the certificate holder for the address P.O. Box 287, Oregon, WI 53575.
      • Proof of $1M liability insurance coverage, in effect and maintained for the duration of the Fair and move-in dates, is required. A copy of your insurance certificate must be on file at the Fair’s business office by July 1, and Dane County Fair is to be listed as "additional insured".
      • ADDL INSD column marked with Y in the Commercial General Liability row.
      • Description of Operations – The Dane County Fair (July 17-20, 2025, and move-in dates of July 15-16, 2025) at Alliant Energy Center is listed as Additional Insured with respects to the general liability policy above.

JULY 7 - DUE TO ALLIANT ENERGY CENTER (IF NEEDED)
  • Order Booth Items (electric, water, tables, chairs, etc.) through Alliant Energy Center - 20% discount by July 7, 2025. Vendors are welcome to bring their own tables and chairs, but must order electric, water, etc. through Alliant Energy Center. Generators are not permitted. For any questions about the services, contact Alliant Energy Center at 608-267-3950 or email at service@alliantenergycenter.com.


JULY 1 - DUE TO OTHER ORGANIZATIONS (IF NEEDED)
  • Fire Code Regulations at Alliant Energy Center - If you use a tent that is 401 square feet or more at your vendor booth space, this form needs to be completed and sent to the Madison Fire Department by July 1. Keep this permit in the tent and have it easily accessible. All tents that are 401 square feet or more and all food vendors must have a fire extinguisher in their tent. Contact MFD with any question - (608) 266-4420.
  • Public Heath - Transient Food Vendor Information - Contact Public Health if you have any questions at (608) 242-6515 or LEadmin@publichealthmdc.com. Vendors will want to be sure to apply online or download the new PDF application to mail in with their fee, as previous versions of the application won’t be accepted and the fees are different . If a vendor is using an off-site kitchen for preparation or dish washing , in addition to the transient license they also need a permanent retail food licensefor that off-site space, just like a restaurant would have. This license takes a few weeks from application to having an inspection before they can use it, so any vendors that do this will definitely want to plan ahead or change their activities so they can do everything on-site under the transient license.
